I think it’s important to tackle time management as an issue in our industry.
This may be a lack of staff or a lack of full understanding of the efficiencies of outsourcing certain tasks, however, it is in many cases a simple focus on priorities that need to be considered.
It takes time (!) to be good at time management so use your CRM to help you allocate time.
Tips for Time Management as a Sales and Lettings Agents
- Be clear about your goals and targets, both short and long-term. In relation to the current market – it is important to be comfortable looking long-term in relation to business generation and spotting new listings or sales. Write them down. Once you are clear on your focus it’s easier to make decisions about what needs doing and to prioritize.
- Focus on your top priorities. This may be stock generation or process changes or training and development. You’ll be more likely to achieve these goals if you focus on the areas most important to your business.
- Book time in the diary + Factor in 25 minutes a day of prospecting per person, factor in 25 minutes a day of training and build in time to monitor and review the results of everything you do. This reduces anxiety over not having enough time and keeps you focused.
- Create good processes – This includes systems for each process in your business. If the process and tools are clearly defined, then time is saved working out how to perform each task. Keep these processes in regular review and get feedback from your team.
- Take a reality check– it is very easy to procrastinate and put of tasks. I know many salespeople who have put off doing outbound sales calls in favour of catching up on emails! Be clear on your goal and then set the priority and hold yourself accountable.
- Delegation is a skill! Make sure you are clear on your own skill sets and that of your team. Therefore you can delegate tasks to trusted members of the team but remember. If this is new to them – support and train them to succeed otherwise you’ll end up taking the task back! Do our Knowledge and skills analysis to help establish your teams’ areas of expertise. Giving responsibility to your team motivates them, boosts their confidence, and helps them develop their skills.
- End the day- At the end of the working day, tidy your desk, make notes about what needs doing tomorrow and prioritize those tasks. Check-in with your team and ensure that everyone has a clear plan for the start of the next day. Prepare for the next days morning meeting or host an afternoon review meeting to monitor the results of the day.
